Position Description
Supervisor: CFO
The primary purpose of this role is to provide contracting support to Inter-Fluve’s Project Managers. The timely development and implementation of contracts in support of projects is critical to the success of our client-driven business.
Pursuit Phase Support: Log and track status of potential clients Requests for Proposals or other solicitations – for pursuits that are a GO, notify CEO and CFO so that they can review contractual terms. Review and inform pursuit team of pricing/billing requirements per contract/solicitation/client. When applicable and requested by the PM, create teaming agreements and/or subcontract terms in collaboration with CFO and CEO based on templates.
Contracting Support – Clients: Draft client contracts for consulting services based on Inter-Fluve templates. For client-authored contracts, coordinate with the CFO and CEO to complete a review of the contract terms. Review contract provisions and amendments drafted by CEO/CFO.
Contracting Support – Sub-consultants: Draft sub-consultant contract terms and conditions based on Inter-Fluve templates. Coordinate with the CFO and CEO on response to contract issues that are unusual or fall outside of insurance limits.
We ideally see this role growing into a Contracts Lead position with more responsibility in the area of contract review, drafting contract provisions, and client interaction. Please note that this position is NOT an internal counsel role
Location: Saint Paul, Minnesota or Hood River, Oregon
Work Schedule
The candidate will ideally be in the office 5 days per week. The nature of this position ideally requires frequent office presence to engage personally with administrative and technical staff.
Semi-annual travel for in-person meetings in other company offices for a minimum of three full days in the office is required for the first 24 months of the position to support training and coordination with our team.
Required Qualifications
- 2 years of professional work experience.
- Excellent interpersonal and communication skills.
- Good organizational skills and the ability to prioritize and multitask on several projects and staff simultaneously.
- Ability to work under multiple deadline pressures.
- Demonstrated ability to empathetically communicate with multiple stakeholders.
- Clear adherence to company policies and procurement rules and regulations.
- Ability to work both independently and in a team environment required.
- Candidate must be willing to work occasional over-time.
- Position requires some travel to other offices (~10%). Also see position description note on travel for initial travel expectations.
Additional Desired Qualifications
- Bachelor’s degree in business, administration, or related field.
- 1 year of experience working in a contracts administration role or 1 year of experience working within an engineering consulting company is preferred.
- A commitment to taking smart risks and finding new ways of working in partnership with colleagues, evolving programs and organizational structures.
- Ability to establish and grow relationships with internal and external partners.
- Experience working with cross-functional teams on complex projects and programs with tight deadlines.
- Demonstrated ability or interest in learning how to to negotiate, establish and administer contracts.
- Demonstrated experience handling confidential information.
- Knowledge of or interest in learning current and legally binding contractual language and terminology, ideally within the A/E industry.
- Ability to identify, analyze, and suggest solutions for contractual conflicts.
- Knowledge of or interest in learning negotiation best practices, both in-person and in written form, that considers cultural norms and the clients’ best interests (i.e. negotiation with indigenous entities).
Essential Duties
- Prepare contractual agreements using current Inter-Fluve templates.
- Develop sub-consulting agreements based on established Inter-Fluve templates.
- Actively support quality assurance plan for contract review, sub-consultant contracting, project set-up, and project close-out.
- Identify unique or non-standard contract terms and conditions provided by clients for review by CEO, CFO, and/or external counsel.
- Self-monitor progress and schedule, manage contract prioritization with the CFO and CEO, and strive to deliver all documents in a timely manner.
- Proofread, edit, and fact-check contract documents for accuracy and consistency.
- Collaborate with administrative and technical team.
- Other duties and responsibilities as assigned.
- Act independently to prioritize tasks in the absence of specific instructions and exercise independent judgment to identify and solve problems.

The expected salary range for this position is $50,000 – $60,000, depending on experience and qualifications.
