The Executive Director is responsible for developing and maintaining legal and ethical internal operations of the AWSI and communicating and building relationships with external audiences (i.e. members, media, benefit partners, vendors, other associations) to ensure successful implementation of AWSI’s mission.
The Director is responsible for carrying out the actions behind
board decisions and as a paid contractor of the association the Executive Director is expected to personally handle the vast majority of actionable tasks. This contract position is part-time and estimated to require approximately 20 hours per month. Some months will require more time, others less. Must have own computer and internet access. Employment is “At will” and can be terminated by either party without cause or notice.

Job duties include the following:
Membership Solicitation and Renewals
● Recruit prospective new members for membership dues and participation in the annual trade shows and other events. Expectation is several phone call and email attempts to reach a decision/commitment from all prospective members.
● Have regular personal contact with existing members, check in (phone, email, at trade show) an adequate amount to ensure they are aware of AWSI happenings and to encourage their membership renewal.
● Manage accountant’s invoicing, provide required info, contacts, etc of annual dues.
● Report of membership solicitation actions to be delivered at monthly BOD meeting.
Trade Show Planning and Management
● Provide a budget to BOD for trade show expenses.
● Organize key needs of trade show parties including: catering, AV, lay-out, entertainment needs, signage, graphic design needs, awards and other requirements as discussed and required by BOD.
● Manage new and prospective party sponsors (Manufacturers, Beer sponsor, etc).
● Meet with existing and prospective members at the show. Duties to be finalized but to include data/survey capture and membership solicitation.
● Hours and expenses to be budgeted in advance of the trade show and are separate from the Executive Director hourly requirements.
Marketing and Communications
● Produce e-newsletter to keep members informed (expected 8 times per year).

● Maintain and keep current the content and information on the AWSI website
including the membership and job board webpages.
● Maintain a base-level standard of activity on AWSI social media channels.
Research/Strategy
● Conduct surveys to help AWSI best serve members and achieve our goals; report results to the board of directors.
● Periodically scan industry outlets and publications, online and offline, to note trends, issues, events and perceptions in our sports.
Policy
● Review and recommend policies and bylaws on an ongoing basis.
● Familiarize oneself with all required filings and happenings in accordance with AWSI nonprofit association requirements. Advise BOD of any required actions.
● Maintain proper risk management, including insurance.
Planning
● Work with the Board of Directors to coordinate periodic strategic plan review.
Record Keeping
● Maintain official records and documents, and ensure compliance with federal, state and local regulations.
● Develop and manage organizational membership database; create profiles and tracks donors and prospects;
● Maintain current and previous Board contacts and records.
● Communicate with professional contractors from time to time regarding finances, legal issues, and any other issues that may require professional insight.
● Renew annual state business license, maintain legal status with government
entities.
● Complete and file annual IRS forms in a timely manner.
Board Support
● Provide support to the Board and subcommittees by preparing any survey, research, communications, and other supporting materials in conjunction with the policies and goals of the Board.
● Schedule and attend monthly Board and subcommittee meetings.
● Create meeting agendas, take meeting notes and circulate any necessary materials prior to meetings.
Budget and finance
Monthly:
● Supervise financial functions with a bookkeeper.
Annually:
● In conjunction with the Treasurer, prepare an annual budget and see that

Work Schedule Requirements:
● Work hours vary to accommodate board and subcommittee meetings scheduled.
● Must be able to support the Trade Show Event Manager and work a variety of hours to accommodate and plan for the event. Sample hours Event Manager might be contracted
for include:
○ October – February: 5-10 hours per month
○ March – June: 20 hours per month
○ July – August: 30 hours per month (additional hours as required).
○ September: 30 hours per week (Pre/post event)
■ September Trade Show Week: 60+ hours
● Day 1 Setup: 5 hours
● Day 2 Setup: 10 hours
● Day 3 Trade Show: 14 hours
● Day 4 Trade Show: 11-12 hours
● Day 5 Trade Show: 11-12 hours
● Day 6 Breakdown: 10-11 hours
Compensation
● The position is paid on a monthly basis. Rate is fixed.
